How We Tailor Your Holiday
BOOKING PROCESS:
All the services required for private travel arrangements are requested by Earth Trip once a completed booking form has been received.
Step 1: Make an enquiry
Prior to making a booking, it is important that you contact our reservations department, so that our tour consultants are able to:
• Advise you about any departure date restrictions (e.g. relating to flight schedules)
• Discuss any amendments or additions you might like to make to your holiday
• Note any special requests you may have
• Go through other important information relating to your chosen holiday

Step 2: Complete your booking form
Following your conversation with your Earth Trip tour consultant, they will send you an email with a booking form. Please complete the details and then you can sign it electronically or print, sign and email or post it to us.

Step 3: Pay your deposit
For a reservation to be valid, you will need to include a deposit payment. This is between 25% – 35% and you will be instructed with the exact amount. If you are booking within eight weeks of departure you will need to send your full payment at the time of booking.
To make your payment, you will call your Earth Trip tour consultant after completing the online booking form to make a payment over the phone. Alternatively, if you prefer to send a paper booking form, you can also send the deposit by cheque.
Step 4: Confirmation
On receipt of your booking form, Earth Trip will request the various services that will make up your holiday and send you a confirmation invoice with instructions on how to pay the remaining balance.
If any of the services requested are unavailable, you will be contacted by your tour consultant to discuss suitable alternatives.

Organising Visas for travel
While we do include information in your travel pack about visa requirements, we always recommend that passengers check with their local embassy as visa rules can change without warning. Embassy websites in your home country will always have information about requirements, visa costs and will provide the required forms. If you are uncomfortable with the visa process, you can contact us to arrange these for you at a cost.
Please contact the relevant local embassy, or contact us to assist you, to organise your visa/s.
Neither The Earth Trip nor any visa assistance company can guarantee the granting of any visas, as this is a matter outside of their control. If a visa is not granted through no fault of Earth Trip or any visa assistance company, neither will accept any liability for the consequences. Therefore Earth Trip reserves the right to pass on to you any costs incurred as a result, including cancellation charges.
Organising Travel Insurance
Travel insurance is compulsory for all Earth Trip travellers and should be taken out at the time of booking. You must provide proof of your travel insurance on the first day of your trip; you will not be able to join the trip without it.
At a minimum, your travel insurance should be ‘comprehensive’, providing cover against personal accident, death, medical expenses, emergency repatriation and personal liability, with a minimum coverage of US$200,000. We also strongly recommend it covers cancellation, curtailment and loss of luggage and personal effects. If you obtain travel insurance through us, you acknowledge that you are satisfied with the level of insurance we have arranged.
British Foreign & Commonwealth Advice:
Earth Trip supports the British Foreign & Commonwealth Office (FCO) Travel Aware campaign to help you stay safe and healthy overseas. Find out more at FCO Travel Aware. The FCO website provides travel information for many countries around the world which includes advice on safety and security, entry requirements and health, as well as general information. Earth Trip strongly recommends that you, and everyone on your booking, visit the FCO website and read the advice about the country you are planning to visit prior to booking. You should also revisit the advice regularly prior to your departure as it may change frequently. It is also possible to sign-up to receive FCO e-mail updates for your destination so you are aware of any changes to advice they issue and we recommend you do this. There are different levels of advice, and sometimes this includes advice against travelling to certain areas or countries.
